Position Overview
Primary Function of Organizational Unit
The Division of Student Affairs fosters student growth and development. The Division of Student Affairs aids, directs and informs students about services and programs that will expand students’ educational experiences and prepare them for diverse lives in local and global communities. The Division of Student Affairs is responsible for many of the outside the classroom/off campus aspects of student life at NCCU.
Primary Purpose of Position
The Assignments Coordinator provides support to the Assistant Director of Housing Services and Residential Life leadership by effectively performing a wide variety of duties while servicing approximately 3,000 residential students. The Assignment Coordinator’s primary responsibilities includes student housing assignments, occupancy management, records retention, database management, and administrative support for residential life operations. This involves being a resource to current and prospective students, parents, and internal, and external stakeholders regarding the assignments process and procedures; including but not limited to processing room changes, processing accommodations, charging/crediting students’ accounts, and processing housing cancellations. Some evenings and weekend work is required. This position has been designated as essential personnel during inclement hazardous weather and other emergencies
Required Knowledge, Skills, and Abilities
The successful staff member will demonstrate initiative, possesses the ability to work autonomously as well as with a team and maintains a positive attitude. Strong communication, administrative and quality customer service skills are essential. Strong critical thinking and problem solving skills are necessary.
Minimum Education/Experience
Minimum Qualifications:
· Bachelor’s Degree in related field.
· Two years of relative professional student affairs experience.
· Proficiency in Microsoft office, Word, and Excel.
Preferred Qualifications:
· Master’s Degree in Higher Education, or related field.
· Live- in university housing and residence life experience.
· Competency in Student Development Theory and Social Justice & Inclusion.
· Knowledge of housing management system RMS Mercury.

Primary Responsibilities and Duties
Function Administrative
Describe the specific tasks and responsibilities related to the function.
Assignments & Occupancy Management:

· Communicate with current and prospective students, parents, and internal, and external stakeholders about housing application and assignment process.
· Maintain housing applications and update housing assignments based on processes and application periods.
· Monitor housing processes, including mid-semester room changes, room vacancies, and impromptu student departures.
· Process all cancellations, withdrawals, and personal leaves to manage housing credits, refunds, and charges.
· Work closely with the professional live-in staff regarding occupancy management of their staff.
· Manage transitional housing, including early arrivals, late stay, theme housing, and special populations.
· Serve as liaison with program coordinators for theme housing and special populations to manage housing needs and accommodations.
· Anticipate and coordinate overflow housing as needed.
· Assist with the management and assignments of summer camps and conferences.

Function Administrative
Describe the specific tasks and responsibilities related to the function.
Records and Database Management:

· Maintain accurate and up-to-date records on housing assignments, room billing, room descriptions, vacancies, and addresses using housing software RMS Mercury.
· Verify the validity of data in the housing software, including information received from Banner and inputted by students.
· Maintains up-to-date records on all room changes, available spaces, and offline spaces Produce accurate occupancy reports on a weekly and as-needed basis.
· Manage housing applications and other necessary forms needed for assignments.
· Have a working knowledge of RMS Mercury housing software system and participate in all required training.
· Works with Census Bureau representative to administer surveys per academic year to random students.
Function Administrative

Office & Administrative Support:

· Serve as a vital member of the office responsible for creating a welcoming culture for all students, staff, faculty, and guests.
· Assist the Residential Life office with day-to-day operations including but not limited to in-person customer service, answering phones, routine correspondence, proofreading, and managing the key replacement processes.
· Serve as sources of information about college and its resources to students, staff, faculty, families, and others.
· Assist in the recruitment, selections, training, and development of student staff members working in the Residential Life office.
· Have a working knowledge of the Americans with Disabilities Act, Fair Housing Act, Family Educational Right to Privacy Act, and other laws that impact residential and congregate style housing.
· Support the Residential Life Office, Division of Student Affairs, and North Carolina Central University with additional responsibilities deemed relevant to position.
