Summary of Position:
The Disability Support Services Office Assistant position involves a combination of administrative support duties, specialized exam proctoring responsibilities, and interdepartmental assistance. Key responsibilities include managing schedules, maintaining records, proctoring exams for students with accommodations, and providing support to other academic affairs units as needed. The Office Assistant will report directly to the Director of Disability Support Services. This position is being hired for the 2025-26 Fiscal Year and beyond and will start no earlier than July 1, 2025.
Essential duties and responsibilities:
Office Coordination
● Provide welcoming and accommodating customer service
● Manage scheduling for the Disability Support Services office, including appointments, meetings, and events
● Maintain accurate and confidential records of student accommodations and services provided
● Handle correspondence and communication with students, faculty, and staff regarding disability support matters
● Compile and maintain data, as needed
● Assist with departmental budget tracking and purchases
● Assist with the development of office materials, including reports, presentations, handouts, PacerNet content, and procedure documents
● Utilize software to ensure students have access to their accommodations and timely communication with instructors
● Secure and manage aids, services, or resources such as electronic textbooks, note-taking services, sign language interpreters, and assistive technology
Exam Proctoring
● Coordinate and proctor exams for students with approved accommodations
● Ensure proper implementation of proctoring guidelines, testing instructions, and accommodations during exams, such as extended time, assistive technology, or alternative formats
● Maintain a secure and distraction-free testing environment
● Liaise with faculty to obtain and return exam materials securely and communicate any special instructions
Interdepartmental Assistance
● Provide support to other academic affairs offices as determined by the Vice President for Academic Affairs and Associate Vice President for Academic Affairs
● Assist with special projects, events, or initiatives serving Academic Affairs
● Other duties as assigned
Minimum Qualifications:
● High school diploma or equivalent
● Expertise in the Microsoft Office Suite and with Google

Preferred Qualifications:
● Bachelor’s degree
● Experience in a higher education setting
● Experience within a Disability Services Office or student services operation
● 3+ years of related experience
● Knowledge of FERPA regulations
