Job Title: Executive Assistant Sr.
Position Location: Raleigh, NC. Hybrid - One Day Remote Per Week.
Job Summary:
The Executive Assistant Sr. provides high‑level administrative, analytical, meeting, and clerical support to the Executive Leadership Team (ELT), the Board of Directors, and various committees across the organization. This role serves as a trusted liaison and first point of contact for internal and external stakeholders, ensuring a positive, professional experience while supporting effective governance, communication, and executive operations. This position is distinguished from the Executive Assistant role by the level of sensitivity, confidentiality, and complexity of duties. The senior level assistant may also serve as back‑up to the Executive Assistant Manager, as needed.
As a key contributor to the Coastal team, your responsibilities will be:
- (30%) Executive, Board, and Committee Administration:
- Provide high‑level administrative, analytical, and clerical support to the Executive Leadership Team, Board of Directors, and assigned committees.
- Schedule meetings; prepare, collect, distribute, and maintain meeting materials; post and update documents in Board management systems (e.g., Diligent); attend meetings; prepare accurate minutes; and track post‑meeting action items to completion.
- Prepare and coordinate policies and documentation for Board review and approval.
- Provides administrative support for budget awareness and planning processes, assisting leaders with tracking and documentation as needed.
- (25%) Executive Liaison:
- Serve as the primary point of contact, delegate, and liaison for internal and external stakeholders on matters pertaining to the ELT.
- Exercise delegated authority to communicate on behalf of ELT members regarding administrative matters
- Stay abreast of issues requiring attention, prioritize competing requests, and determine appropriate courses of action
- (25%) Calendar and Meeting Management:
- Manage complex, high‑volume calendars, ensuring schedules are optimized, conflict‑free, and reasonably paced.
- Prepare and coordinate executive briefings, presentations, reports, correspondence, biographies, and other materials for leadership meetings and engagements.
- (10%) Project and Event Coordination:
- Manage assigned projects requiring coordination across departments, balancing competing priorities while meeting established deadlines.
- Plans on‑site and off‑site events, including team‑building activities, workshops, conferences, and leadership functions.
- (10%) Travel and Professional Development Coordination:
- Coordinate and manage executive travel and external training activities, including pre‑authorizations, transportation, lodging, registrations, itineraries, expense reporting, and reimbursement processing, ensuring compliance with organizational policies.

Experience:
- Minimum eight years of administrative support experience, preferably supporting C-Suite executives
Education:
- High school diploma or equivalent; Related bachelor's degree preferred
